ACEC Minnesota Privacy Policy

American Council of Engineering Companies of Minnesota – Effective

The American Council of Engineering Companies of Minnesota (ACEC Minnesota, we, us) is a trade association representing consulting engineering firms across Minnesota. Our office is located at 30 East Seventh Street, Suite 2725, Saint Paul, MN 55101.

This policy explains what personal information we collect and how we use it. It covers our website at acecmn.org, member portal (the Info Hub), online member directory, event registration systems, job board, and email communications.

Information We Collect

We collect information you provide directly to us, including:

  • Membership information. When a firm applies for or renews membership, we collect firm contact details and information about the individuals the firm designates as contacts, including names, titles, email addresses, and phone numbers.
  • Account information. When you create an Info Hub account, we collect your name, contact information, firm, and login credentials.
  • Event registration. When you register for a conference, gala, committee meeting, or other event, we collect your name, firm, contact information, and any preferences you provide, such as dietary needs or accessibility requests.
  • Job board information. When an employer purchases a job posting, we collect the employer's contact and billing information and the content of the posting. Applicants apply directly to the posting employer, and we do not collect application materials.
  • Communications. When you email us, complete a form on our website, or subscribe to our publications, we collect the information you include.

We also collect limited information automatically when you visit our website, such as IP address, browser type, pages visited, and referring pages, through cookies and similar technologies described later in this policy.

How We Use Information

We use the information we collect to:

  • Administer memberships and process dues
  • Provide member benefits and services
  • Register you for events and communicate event logistics
  • Publish and maintain the member directory
  • Send publications, industry updates, advocacy alerts, and event announcements
  • Process payments for dues, event registrations, sponsorships, and job postings
  • Operate, secure, and improve our website and member systems
  • Comply with legal obligations that apply to us as a nonprofit association

Our online member directory lists member firms and, where firms choose to include them, individual contacts at those firms. Directory listings are visible to the public. Firm administrators control what appears in their firm's listing through the Info Hub. If you want your individual information removed from a directory listing, contact your firm's administrator or contact us directly at membership@acecmn.org.

When We Share Information

We share personal information in the following circumstances:

  • Service providers. We use third-party providers to operate our systems, including GrowthZone, which hosts our association management system, database, website, and member portal, and processes payments through GrowthZone Pay. These providers process information on our behalf and under contractual limits.
  • ACEC National. As a state member organization of the American Council of Engineering Companies, we share member roster information with ACEC National for national membership administration.
  • Event sponsors. For certain events, we share registrant name, firm, and title with event sponsors. Registration materials identify when this applies, and you may opt out by contacting us at events@acecmn.org.
  • Legal requirements. We may disclose information when required by law, subpoena, or other legal process, or to protect the rights, safety, or property of ACEC Minnesota, our members, or others.

We do not share member contact lists with third parties for their own marketing except as described above.

We send members and subscribers publications, advocacy updates, event announcements, and other industry news. Every marketing email includes an unsubscribe link. Unsubscribing from marketing email does not stop transactional messages, such as invoices, event confirmations, or governance notices that we are obligated to send.

Payments for dues, events, sponsorships, and job postings are processed through GrowthZone Pay. Card numbers go directly to the processor. We do not store full card numbers on our systems.

Our website uses cookies and similar technologies to keep the site functioning, remember your session in the Info Hub, and measure site usage through Google Analytics. You can control cookies through your browser settings. Disabling cookies may limit portions of the site, including Info Hub login.

We photograph and sometimes record our events, including, but not limited to, conferences, fundraising outings, meetings, award programs, and educational sessions. We use these materials in our publications, on our website, and in promotional and social media content. If you prefer not to appear in event photography, tell our staff at the event. We will try to avoid featuring you in promotional materials, though we cannot guarantee you will not appear in general event coverage.

We retain membership and financial records as long as needed for the purposes described in this policy and to meet legal, tax, audit, and governance requirements that apply to nonprofit associations. We retain event and communication records for shorter periods appropriate to their purpose. When information is no longer needed, we de-identify it or destroy it.

We use reasonable technical and physical safeguards to protect personal information, including access controls on our member systems and encryption of data in transit. No system is perfectly secure, and we cannot guarantee absolute security.

Our website and services are directed to professionals and firms. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us immediately at info@acecmn.org and we will delete it.

Our website and communications link to third-party sites, including member firms, sponsors, ACEC National, and government resources. Their privacy practices are their own, and this policy does not apply to them.

You have choices about the personal information we hold. You may:

  • Access and update your contact information through the Info Hub, or ask us to do so
  • Ask us to correct inaccurate information we hold about you
  • Ask us to delete your personal information, subject to records we must retain for legal, financial, or governance reasons
  • Unsubscribe from marketing email at any time using the link in any message

To make a request, contact us at info@acecmn.org. We will respond within a reasonable time and may need to verify your identity before acting on a request.

We may update this policy as our practices or legal requirements change. We will post the updated policy on this page with a new effective date. Material changes will be announced to members by email.
